JavaDay 2017

4-5 November, the Fresh Marketing team held one of the largest and most significant events for the Ukrainian IT community. We organized conference JavaDay Ukraine.

According to the DOU version JavaDay Ukraine is an event that for the second year in a row is one of the top three IT conferences.

In the preparation of JavaDay Ukraine, Fresh Marketing team was not only organizer. This year we tried out new roles for us: as a client and a performer simultaneously. Our main challenges were the coordination of the process of selling tickets and finding partners who could help us hold the event at the highest level. Thanks to the painstaking work of Fresh Marketing for several months, we successfully managed to close all organizational issues.

Opening of the Javaday Ukraine 2017 conference

Tasks:

  • to coordinate the organizational aspects of the event with our location Parkovy;
  • organize and monitor the provision of food for 2 days of the conference;
  • find and coordinate the artists, accompany them on the event, provide technical rider;
  • provide video recording of speeches;
  • zone the area;
  • organize and provide logistics;
  • to accompany and lodge all the speakers;
  • negotiate with partners, prepare and ensure their organic and comfortable participation.

Digital tasks:

  • provide technical support for the landing page of the event;
  • set up analytics and track the conversion of page visitors;
  • organize tickets sale;
  • advertise the event in FB, contextual advertising systems, Youtube, Twitter, etc.
  • create email templates for newsletters;
  • to accompany the process of ticket sales in a ticketing system.

Production:

  • prepare POS design materials;
  • to participate in the development of the design of stands, photo zones, stages, general stylistics of the event;
  • control the manufacture of all structures and POS-materials.

Conducting JavaDay Ukraine:

  • to install / dismantle all zones on the location;
  • organize and monitor the registration;
  • brief and control volunteers;
  • to control and provide technical support of scenes, light, etc.

How it was:

Two days of getting knowledge and communication in the atmosphere of art, IT-technologies and self-expression. 1000 participants, 50 speakers, 5 parallel non-stop streams and scenes, art-installations, author's T-shirts for each participant, partner area with non-standard formats of participation: event integration, Shop-in-Event format.

Result:

The JavaDay Ukraine Conference was held for the seventh time and judging by the feedback we managed with our colleagues from EPAM Ukraine, the unchanging company-organizer and the title partner of the event, managed to synchronize all the numerous streams into one rapidly flowing event. Everyone was satisfied: participants, partners, speakers, and the organizers themselves.
